Planning an office end-of-year party in Nigeria
Budget, venue, date, guest list, entertainment and awards: a practical plan for a company end-of-year party that staff actually enjoy.
Pick the date early
December weekends book up fast, and venues, DJs and caterers raise prices as the month fills. Fix the date by early November, and consider a Thursday or Friday evening or late November when everything is easier to get.
Set the budget per head
Work out a per-person budget, then split it across venue, food and drinks, entertainment, decor and awards or gifts. Food and drinks usually take the largest share; keep something back for transport and surprises.
- Confirm whether partners or plus-ones are invited before you book a venue.
- Ask caterers to quote per head with drinks shown separately.
- Get every quote in writing and track it against the budget.
Invites and RSVPs
Send one event link to staff and ask everyone to RSVP by a date. On Zulra you can make the event private to your team, collect RSVPs and dietary needs, and check people in at the door with a QR code.
Make the programme work
Keep speeches short and early, before the music. A simple run of show - arrival, welcome, dinner, awards, dancing - shared with the MC, DJ and caterer keeps the night on time.
- Awards: decide categories and winners a week before, and prepare plaques or gifts in advance.
- Photos: book a photographer for at least the first two hours, when everyone is still dressed up.
- Transport: arrange rides home or a cut-off time, especially if the venue is far from most staff.
Keep it in one place
Use one plan for the to do list, budget, vendors and run of show so the organising team can see what's done and what isn't, and nothing lives only in someone's WhatsApp.
